Overview:
This role supports the organisation’s corporate social responsibility agenda by providing end-to-end administrative, financial, and compliance coordination for charitable giving, fundraising, and volunteering. You’ll help ensure robust governance, transparent reporting, and strong engagement across internal stakeholders and external charity partners, while aligning activity to company values and sustainability objectives.
Key Responsibilities:
- Provide day-to-day administrative support to the charity and volunteering programme, including managing the CSR inbox, calendar, intranet content, and meeting coordination (agenda, notes, and action tracking).
- Coordinate charity governance processes, including maintaining terms of reference and supporting periodic reviews of policies and documentation.
- Manage the charity budget under direction, including tracking allocations, monitoring spend, and supporting annual budget planning and approvals.
- Initiate and process charity payments via approved channels, including supplier onboarding where required and ensuring appropriate due diligence.
- Produce regular reconciliations and reporting on spend and activity, liaising with Finance as needed to ensure accurate and timely oversight.
- Prepare quarterly updates for internal sustainability/governance forums, including budget status, allocations, plans for the year, and programme outcomes.
- Support compliance requirements linked to charitable activity, including ensuring relevant modern slavery checks and record-keeping are completed for payments.
- Coordinate logistics for volunteering and fundraising events, ensuring smooth execution and positive participant experience.
- Partner with Marketing/Communications to coordinate internal and external messaging related to charitable activity and volunteering opportunities.
- Liaise with charity partners to maximise engagement, support relationships, and identify meaningful opportunities for collaboration.
- Manage and respond to employee donation and matching requests in line with policy, escalating exceptions where needed.
- Collaborate with external industry foundations and peer CSR teams on joint volunteering/fundraising initiatives where appropriate.
- Work with internal employee networks to support their charitable initiatives and help ensure allocated budgets are used effectively.
- Promote inclusive ways of working and embed inclusion and diversity principles into CSR activity where appropriate.
- Maintain awareness of, and comply with, relevant conduct standards and applicable regulatory and financial crime requirements.
- Experience working within or alongside registered charities and/or not-for-profit organisations.
- Experience supporting events, projects, volunteering programmes, or community initiatives.
- Comfort managing budgets, procurement processes, and/or coordinating payments with appropriate controls.
- Strong stakeholder management skills with the ability to build relationships across a broad range of internal and external contacts.
- Strong organisation skills: able to manage multiple workstreams, meet deadlines, and prioritise effectively.
- Confident report-writing and administrative capability, including producing clear updates and tracking actions to completion.
- Good working knowledge of Microsoft Office tools (Outlook, Excel, PowerPoint, Teams) and confidence working in a hybrid environment.
- Proactive, adaptable, and willing to learn, able to spot risks early and escalate appropriately.
- Empathetic communication style, with an ability to engage colleagues who are passionate about charitable causes.
- Experience supporting governance forums and producing committee-level packs and reporting.
- Familiarity with modern slavery considerations, due diligence, and record-keeping in a payments/procurement context.
- Experience working with employee networks, ERGs, or internal community groups.
- Exposure to sustainability reporting or CSR measurement/impact reporting.
