Title: Communications & Events Coordinator 
Location: London/ hybrid 
Salary: £45,000 per annum 

About the role 

To manage company events (virtual and in-person) and corporate hospitality programme, and support internal and external communications activities.

Role responsibilities:
Providing communications and marketing support including:
  • Keeping the internal and external events planner up to date
  • Preparing, distributing, and monitoring emails for internal and external audiences
  • Uploading content/videos to key channels including intranet, websites and social
  • media
  • Collating measurement and feedback reports for communications and marketing activities
  • Drafting content where required
  • Monitoring media and social media activity
  • Producing simple graphics for social media posts and email banners in line wit the brand
  • Proposing ideas for and supporting delivery of campaigns and events
  • Laying out content into templates (e.g. email newsletters)
  • Ordering marketing collateral for UK and international offices
  • Managing procurement processes including requisitions and invoices
  • Managing and running virtual events via Zoom
  • Proposing ideas for and supporting internal and external campaigns
  • Project support as needed
Events
  • Coordination and management of large and small scale corporate events (virtual and in-person) including the Management Forum, Town Halls, Recognition Awards and Corporate Hospitality events
  • Designing and running the corporate hospitality programme in line with business and marketing objectives
  • Proposing, securing approvals and monitoring event budgets
  • Sourcing collateral, gifts and prizes
  • Obtaining host and attendee feedback, compiling reports and measuring effectiveness against success measures
  • Pitching new ideas for events or venues
  • Producing detailed plans for events including timelines, venues, suppliers, legal obligations, staffing requirements and budgets and implementing them
  • Venue sourcing and booking
  • Maintaining accurate and up to date ‘to do’ and status lists for each event
  • Ensuring insurance, legal, health and safety obligations are adhered to
  • Managing event and supplier contracts, governance and payment process
  • Coordinating suppliers e.g. venue management, caterers, stand designers, contractors and equipment hire, AV providers
  • Planning room layouts and the entertainment programme, scheduling workshops and demonstrations
  • Providing guidance to colleagues on events
  • Communicating with internal and external attendees
  • Creating and issuing invitations and managing responses and questions
  • Creating table plans (up to 500+ people)
  • Handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly
  • Acting as a ‘brand ambassador’ for the business 
  • Resolving and/or escalating issues
  • Post-event evaluation (including data entry and analysis and producing reports for event stakeholders)
Technical Requirements:
  • Qualifications in any marketing or communications related discipline are desirable
  • Demonstrable experience within corporate event management.
  • Experience working within Insurance/London Market is preferred
  • Design experience e.g., Photoshop, adobe acrobat, InDesign an advantage
  • Ability to manage virtual events via Teams and Zoom
  • Basic film editing skills advantageous
