Job Title: Claims Administrative Assistant
Location: London
Salary Range: £30,000
Type: Permanent, Hybrid


Overview:
This role provides administrative support to the Claims function across both London and European markets. The position involves ensuring the accuracy of claims data in line with internal policies and regulatory standards, as well as assisting with various reporting and claims processing tasks. A strong focus on data quality, compliance, and teamwork is essential.

Key Responsibilities:
  • Prepare and manage weekly, monthly, and quarterly claims reports, including ad hoc reporting requests.
  • Process claims in accordance with delegated authority limits and minimum market standards.
  • Manage DOCOsoft workflows, including diaries and documentation, to ensure timely and accurate claims handling.
  • Process and maintain records of settled direct claims and ensure all supporting documentation is complete and current.
  • Handle SCM/USM daily processing; flag incorrect premium allocations for correction.
  • Investigate and resolve claim signings that have followed premium signings into suspense.
  • Manage quarterly manual bridging reserves, including reconciliation and clearance.
  • Follow up on outstanding direct/manual fees and support claims fee recovery processes.
  • Review and manage loss fund adequacy, particularly on prior year recoveries.
  • Upload bordereaux to the claims system as required.
  • Monitor and resolve ECF/Lirma incomplete items.
  • Provide administrative support to Complex Claims Adjusters, including diary and static claims management, especially during peak periods or absences.
  • Support other claims administrative projects as required.
  • Report any suspicions of financial crime in line with regulatory obligations.
  • Comply with internal standards related to Treating Customers Fairly and Consumer Duty requirements.
  • Proactively manage any conflicts of interest and escalate issues where necessary.
  • Immediately report any complaints or concerns to Compliance and/or Management.
  • Identify resource or training gaps and communicate needs to management.
  • Promote collaboration and contribute to a positive team environment.
  • Ensure accounts are contract certain and data is consistently accurate.

What We’re Looking For:
Experience:
  • 1–2 years’ experience in a similar administrative or claims support role.
  • Familiarity with Lloyd’s and London Market claims processing practices.
  • Understanding of PRA and FCA regulatory frameworks.
Skills:
  • Strong numeracy and data entry skills.
  • Excellent verbal and written communication abilities.
  • Organised, detail-oriented, and able to manage multiple priorities.
Systems & IT:
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Experience using systems such as DOCOsoft, Eclipse, and Electronic Claims File (ECF) is advantageous.
Qualifications:
  • Educated to GCSE or A-Level standard (or equivalent).
